In short

Vantage from SOW to invoice

KEEL is professional services automation for consulting firms and system integrators. It runs each engagement from the commercial statement of work through staffing, timesheets and approvals to invoice readiness, and shows margin, utilization and forecast in real time. Every number drills down to the timesheet line that explains it.

The pattern

Where engagement margin leaks

Most firms find out an engagement lost money when the invoice is already late. The causes were visible weeks earlier, in different systems.

Scope in one place, staffing in another

The SOW was priced on one staffing plan and delivered on a different one. Nobody compared the two until the margin report.

Overruns found at billing

Hours beyond what the client authorized are discovered when finance tries to invoice them.

Hours without support

Time is billed that the client never approved, or that has no client time record behind it.

Retainers quietly over cap

Retainer hours run past the cap and are absorbed instead of raised.

Two forecasts, two answers

The dashboard and the forecast spreadsheet are built separately and disagree.

Commercial and legal drift

The signed SOW's legal language no longer matches the commercial terms the team is delivering against.

Capabilities

What KEEL does

Each capability has its own page with the detail.

Commercial SOW & approvals

Sections, a weekly staffing grid and the SOW's own rate sheet, approved by the engagement lead, managing director and finance before anything reaches the client.

Staffing, timesheets & client approval

A frozen staffing forecast with numbered revisions, timesheets approved row by row, and time-and-materials weeks approved by the client in the portal.

Invoice readiness & revenue leakage

Every billable line names what is blocking it, and leakage is counted in dollars: over-cap retainer hours, overruns and unsupported time.

Margin, utilization & forecast

Planned value, actuals, backlog and forecast landing by account and practice, each drilling to the person, the week and the timesheet line.

Who uses it

One engagement, five roles

Every screen and instruction starts from the role that needs it.

Managing director

Owns the book of accounts, approves commercial SOWs, owns the firm rate card with finance, and reads the executive dashboard.

Engagement lead

Creates the account, authors the commercial SOW, builds the staffing plan and approves team timesheets.

Finance controller

Approves anything with money in it, owns invoice readiness, revenue leakage and exports.

Team member

Enters time and sees allocation remaining. Never sees rates or margin.

Client, in the portal

Approves time row by row, signs SOWs and change requests, accepts milestones and reads status reports. Never sees cost or margin.

Questions

Common questions

Does KEEL replace our accounting system?

No. KEEL produces invoice-ready lines and exports them; a QuickBooks integration is available. There is no rip-and-replace.

Who handles the legal SOW and signatures?

Lexara. KEEL owns the commercial SOW; once the lead, managing director and finance have approved it, Lexara drafts the legal language and sends it for signature.

Can clients approve time themselves?

Yes. On time-and-materials work, the engagement lead's approval sends the week to the client, who approves it row by row in the client portal.

Can we bring in engagements that are already running?

Yes. Upload an existing SOW; it lands in review mode, you correct the extracted fields, and confirming it creates the account, engagement and staffing plan.

Who is KEEL built for?

Managing directors, engagement leads and finance leaders at consulting firms, strategy and advisory practices and system integrators that run on services.

Lexara for legal language

KEEL owns the commercial SOW. Lexara drafts the legal language and handles signature, so scope, contract and billing form one chain.
