In short

One structured SOW, three approvals

A commercial SOW in KEEL holds the scope sections, a weekly staffing grid and the SOW's own rate sheet copied from the firm rate card. The engagement lead submits it; the managing director and the finance controller both approve it before anything goes to the client. Lexara then drafts the legal language and handles signature.

How it works

From draft to signature

Sections up to three levels

The lead names the scope sections. Section rows are locked roll-ups; role lines are edited by double-click.

Weekly staffing grid

Roles across weeks one to twelve and beyond, so the price is built on the plan that will be delivered.

The SOW's own rate sheet

Rates are copied from the firm-wide rate card into the SOW, where discounts apply. Leads edit only the SOW's copy.

Three-step approval track

Lead, then managing director, then finance. All three must approve commercials before the client sees anything.

Lexara handoff

Lexara Author drafts the legal language from the firm playbook; the firm countersigns and Lexara Ink sends it for client signature.

Redlines come back to KEEL

If the client changes content, the SOW reopens in KEEL and goes back to all three approvers.

Controls

Guardrails that are logged, not trusted

Firm playbook

Can block the lead, managing director or finance from adding or changing material terms.

Logged overrides

The managing director can override the playbook; every override is recorded with who and when.

Sequential numbering

Every SOW carries a sequential number, so revisions and references never collide.

Four ways in

Invite the client to complete the form, import a spreadsheet, upload an existing SOW, or pull from a CRM where enrolled.

Questions

Common questions

Can the engagement lead change firm rates?

No. Firm-wide rates are owned by the managing director and finance. A lead edits only the SOW's copy of the rate sheet.

What happens if the client redlines the SOW?

Lexara compares and assesses the changes. Content changes reopen the commercial SOW in KEEL for edits and resubmission to all three approvers.

Can we upload a SOW we already have?

Yes. It lands in review mode first; nothing is created until you confirm the extracted fields.

Is the legal SOW separate from the commercial SOW?

Yes. KEEL owns the commercial terms; Lexara owns the legal language and the signature, and the two stay linked.
