In short

Plan, time and approval in one record

KEEL freezes the staffing forecast once an engagement starts, so any change needs a reason, notifies the managing director, lead and finance, and is saved as a numbered revision. Team members submit weekly timesheets, the lead approves or rejects each row, and on time-and-materials work the client approves the week in the portal.

How it works

The weekly cycle

Team member submits

An Excel-style week by engagement, plus admin, leave and sick time. Submitting is signing.

Early warning

A warning appears at 80 percent of authorized hours, before the overrun rather than after.

Lead approves

Approve, reject with a required reason, or question each row.

Client approves

On time-and-materials work, the lead's approval sends the week to the client portal for row-by-row approval.

Contractor support

Contractors attach the client's own time record where the engagement requires it.

Status report

Drafted from the numbers, edited by the lead, optionally approved by the managing director, and published to the client.

The plan

A forecast that cannot drift silently

Past weeks locked

Weeks already delivered are greyed and locked as actuals.

Frozen forecast

Changing the plan needs an unfreeze with a reason, and everyone accountable is notified.

Numbered revisions

Each refreeze is a numbered revision, so you can see how the plan moved and why.

Questions

Common questions

Can team members see rates or margin?

No. Team members see their time and their remaining allocation, never money.

What does the client see in the portal?

Time to approve, SOWs and change requests to sign, milestones to accept, status reports and their own uploaded documents. Never cost, margin or internal notes.

What if a timesheet row is wrong?

The lead rejects it with a reason or raises a question on that row; the team member corrects and resubmits.

Can the plan change mid-engagement?

Yes, through an unfreeze with a reason. The change is saved as a numbered revision and the managing director, lead and finance are notified.
