What Provenza is

Sorting a fax is not the same as triaging it

Provenza is an AI fax and document triage platform for physician practices. It reads every inbound fax, identifies the patient and document type, extracts structured clinical data, assigns a criticality level and a corresponding response SLA, routes the item to the right person, and tracks it through disposition — so nothing urgent sits unread in a shared inbox.

01

Ingest

Documents arrive through the fax setup you already run. No provider change, no second inbox, nothing for staff to learn.

02

Read

Document type, patient, referring provider and the clinically relevant fields are identified and turned into structured data.

03

Score

Each document gets a criticality tier based on what is inside it — not just what kind of document it is.

04

Disposition

The tier sets the response SLA, the routing and the escalation path. The item is tracked until somebody closes it.

The wedge

What Provenza does that fax classification does not

Most tools label a document and put it somewhere. That leaves the hardest judgment — how fast must someone act, and what happens if they don't — with whoever opens the queue.

Where it shows up

The documents that actually eat the morning

Referrals

Read, matched to a patient, checked for the fields intake will need, and routed before a scheduler ever touches them.

Prior authorization

Determinations identified as approval or denial — and denials escalated rather than filed, because a denial is a deadline.

Lab & imaging results

Scored on the values inside the report. A result is routine or critical depending on its contents, not its document type.

Records requests

Recognised, logged against a response clock, and routed to whoever owns release of information.

Refill requests

Matched to patient and prescriber, checked for what is missing, and queued where your team already works them.

Insurance correspondence

Separated from clinical traffic so it stops competing for attention with documents that carry a clinical clock.

Questions

Common questions

Does Provenza replace our fax line?

No. Provenza works on the inbound documents arriving through the fax setup you already have. There is no provider migration and no second inbox for staff to check.

How is this different from cloud fax with AI labeling?

Cloud fax services deliver and label documents. Provenza decides how urgent each document is, puts a response deadline on it, assigns an owner, escalates it if the deadline passes, and records the disposition. Delivery is the start of the workflow, not the end of it.

Is Provenza HIPAA compliant?

Provenza processes protected health information under a signed Business Associate Agreement, with encryption in transit and at rest, role-based access control, and a complete audit trail for every document and every action taken on it.

Which EHRs do you work with?

Integration depth varies by system, and we will tell you exactly what is live versus planned for yours before you commit to anything. We would rather lose a deal on that answer than win one and disappoint you at go-live.

What size practice is this built for?

Practices where inbound volume is high enough that someone spends a meaningful part of every day sorting it. If one person clears your queue before lunch without falling behind, you do not need us yet.

Tomorrow's faxes are already on their way.

Send us one week of your real queue. We will show you exactly what Provenza read, how it scored each item and what it would have routed — under a BAA, at no cost.
